Hunter Campbell Limited and Hunter Campbell Recruitment Limited respects your privacy and is committed to protecting your personal information in accordance with the Privacy Act 2020 (NZ). This policy outlines how we collect, use, store, and protect your data.

2. Introduction

We are a New Zealand owned and operated recruitment business. We collect personal data from our Candidates, Clients, Suppliers and Hunter Campbell Limited and Hunter Campbell Recruitment Limited employees and contractors.

3. What Information We Collect
As a recruitment company, we collect data through a variety of means. This includes in-person interviews, video interviews, online forms, websites, emails, calls, social media profiles, third-party checks, and other legitimate means. This may include:
  • Contact information (name, email, phone, address)
  • CVs, employment history, qualifications, and references
  • Immigration documents and verification of your right to work in New Zealand
  • Identification documents, including driver’s licence, marriage certificate or passport
  • Probity checks (criminal convictions, credit checks, New Zealand tertiary and University qualifications)
  • Professional Social Media profiles (including LinkedIn and Seek)
  • Financial information (where relevant to payment

    If you do not provide the requested information, we may be unable to assist with recruitment services.

4. Direct and Indirect Collection

We collect personal information directly from candidates wherever practicable — for example, when you register with us, send us your CV, attend an interview, or complete an assessment.

In line with normal recruitment practice we also collect information about you indirectly (from sources other than you). This includes:
  • To assess and/or confirm your suitability for employment and for assignments:
    • Ministry of Justice, Centrix, Certn, Immigration NZ and Universities / other qualification bodies. We perform probity checks (criminal convictions, credit checks, visa checks, New Zealand tertiary and University qualifications)
    • We use Winter Consulting for psychometric testing. Winter Consulting share the results with us. We also share this information with the client where relevant to the role for which testing was completed.
    • Professional Social Media profiles (including LinkedIn and Seek). We only do this where the profile(s) are publicly accessible and/or where you have given permission for us to view the profile(s).
    • Work or character referees, where authorised by you.
  • To assess and/or confirm your suitability for employment and for assignments and also to manage your employment:
    • The third-party client(s) to whom you are assigned work. The third-party client(s) share information with us relating to all employment matters, including performance, payroll, leave, medical, health and safety, investigations and disciplinary matters.
  • We collect personal information through generative AI sources (Claude for Teams), but our prompts are restricted to searches of publicly available databases / websites and we only use information where we locate the source of the information and check it. 
5. How We Use Your Data
We use your data to:
  • Provide recruitment services
  • Match candidates to job vacancies
  • Fulfil contractual and legal obligations
  • Communicate job-related updates or events
  • Support our recruitment processes using secure technology platforms, including AI-assisted tools (see Section 6 below)

Our lawful bases for processing include legitimate interests, contractual necessity, consent, and legal obligations.

6. Disclosing Your Information
We may share your personal information with:
  • Our Clients (potential employers) for recruitment purposes
  • Compliance and background check partners (e.g. Criminal Convictions, Credit Checks)
  • Payroll and financial service providers
  • IT and cloud storage service providers (e.g. email, CRM, or database platforms)
  • AI technology providers who support our recruitment processes (see Section 6 below)
  • Marketing and event management partners
  • Legal, financial, and regulatory bodies (where required)
7. Use of AI-Assisted Tools
We use AI-assisted tools as part of our recruitment processes to help us work more efficiently and deliver a better experience for our candidates and clients. These tools may be used to assist with tasks such as summarising candidate information, drafting job descriptions, transcribing and summarising client meeting notes, and supporting recruitment-related communications.
Your personal information may be processed using these tools as part of our standard recruitment workflow. Where this occurs, we take all reasonable steps to ensure the tools we use comply with the Privacy Act 2020 and safeguard your information. This includes:
  • Using enterprise-grade AI platforms with appropriate security and privacy controls
  • Ensuring your data is not used to train AI models
  • Restricting access to authorised Hunter Campbell personnel only
  • Ensuring all final recruitment decisions are made by our team — AI tools are used to support our processes, not to make decisions about candidates

We regularly review our use of AI-assisted tools to ensure they remain appropriate, secure, and consistent with this policy.

8. Data Storage & Security
We take protecting your information seriously. Your data is securely stored in cloud infrastructure located in Australia, using:
  • Encryption and access controls (including MFA)
  • Role-based permissions
Where AI-assisted tools are used, your data is processed through secure, enterprise-grade platforms with appropriate privacy and security safeguards in place.

If we experience a data breach, we will act in line with our internal breach protocol and notify you and the Office of the Privacy Commissioner if required.

9. Retention

We retain your personal information for as long as necessary for its intended purposes or as required by law. Information processed through AI-assisted tools is not retained by those tools beyond what is necessary to complete the relevant task.

10. Cookies, Tracking & Website Functionality
Our website may use cookies or analytics tools for marketing purposes, to understand site performance, improve user experience or deliver targeted content.
